Welcome to Sci-U Clinic.

We are a company registered in England and Wales, unless stated otherwise. These Terms and Conditions of Business apply to all services, surgical or non-surgical, offered by Sci-U Clinic.

These Terms and Conditions (“Terms”) outline the rules and regulations for the use of our services.

If there is any inconsistency between these Terms and any other Sci-U Clinic materials, these Terms shall prevail.

1. Sci-U Clinic Responsibilities to Patients

Practitioners

All treatments are carried out by appropriately qualified practitioners relevant to the treatment or service sought.

Verification of Credentials

All practitioners hold the required qualifications, training and, where applicable, professional registrations to practise in their respective areas.

Appropriate Facilities

We provide or arrange suitable facilities for the safe and effective delivery of treatments and services, maintaining health and safety standards at all times.

Informed Consent and Suitability

Our practitioners and consultants will ensure you are provided with clear information so that you can:

  • understand the nature and purpose of the treatment;
  • make an informed decision about whether to proceed;
  • participate in an assessment to determine suitability and likely effectiveness;
  • understand potential side effects, risks, limitations and expected outcomes.

2. Your Obligation to Disclose Material Information

You must provide complete, accurate and up-to-date information about your medical history, allergies, medications, health conditions, pregnancy status, and any previous procedures or surgery.

This information is necessary so that we can provide treatment safely and appropriately and minimise the risk of adverse reactions or complications.

Failure to disclose material information may affect your treatment results and increase the risk of complications. Sci-U Clinic shall not be liable for issues arising from incomplete or inaccurate disclosure.

3. Compliance with Advice

You must follow all advice and instructions provided by our practitioners and consultants, including:

  • pre-treatment preparations;
  • patch testing requirements where applicable;
  • post-treatment and aftercare instructions;
  • advice relating to skincare, sun exposure, medication, alcohol, exercise, cosmetics, or unapproved products.

Failure to follow this advice may affect results and increase the risk of adverse reactions, complications, or treatment failure.

4. Policy on Minor Children

Children aged 16 and over may accompany you but must remain in the reception area unless otherwise agreed by management.

We do not accept responsibility for unaccompanied minors under 16. If you bring a child under 16 to an appointment, management may reschedule or cancel your appointment where this is necessary for safety, privacy, or operational reasons.

5. Appointments, Booking Fees and Payments

Booking Fee Requirement

All bookings must be secured with a booking fee of 50% of the treatment price at the time of booking. Your appointment is not confirmed until the booking fee has been received.

Remaining Balance

Your booking fee will be deducted from the total cost of your treatment on the day of your appointment. Any remaining balance must be paid before treatment begins, unless otherwise agreed in writing.

Deposits / Booking Fees

A non-refundable deposit / booking fee of 50% is required to secure all bookings. This amount is deducted from your final treatment total.

Validity

Unless otherwise stated in writing, prepaid booking fees, deposits or treatment balances must be used within any validity period notified to you at the time of purchase or booking.

6. Cancellations and Rescheduling

Notice Requirement

If you need to cancel or reschedule your appointment, we kindly require at least 24 hours’ notice. Where at least 24 hours’ notice is given, your booking fee may be carried forward to a rearranged appointment.

Late Cancellations and No-Shows

If you cancel with less than 24 hours’ notice, or fail to attend your appointment, your booking fee/deposit will be forfeited and a new booking fee may be required before any rebooking is accepted. Repeated no-shows may result in refusal of future bookings.

Exceptional Circumstances

We understand that unexpected circumstances can arise. If you are unwell or something urgent occurs, please contact us as soon as possible. We will always try to accommodate genuine circumstances where reasonably possible, but any waiver of fees is entirely at management’s discretion.

7. Lateness Policy

Please aim to arrive on time for your appointment. If you are running late, you must contact us as soon as possible.

If you are more than 15 minutes late, we may not be able to carry out your treatment in full, or at all, depending on the time remaining and the treatment booked. Arriving late may result in:

  • a shortened appointment;
  • loss of your appointment altogether; and
  • full treatment charges still applying.

We cannot guarantee that we will be able to run over into the next client’s appointment time.

8. Sun Exposure, Laser Treatments and Chemical Peels

Where relevant to your treatment, you must avoid sun exposure, UV tanning, or other contraindicated activity as advised by your practitioner.

Certain treatments, including laser treatments and chemical peels, may not be performed where you are sun-tanned, sunburnt, or otherwise clinically unsuitable on the day of attendance.

If you fail to inform us of relevant sun exposure or other contraindications in advance and treatment cannot proceed, your appointment may be treated as a late cancellation and the applicable booking fee or deposit may be forfeited.

9. Pregnancy and Medical Changes

If you become pregnant, begin breastfeeding, start new medication, or experience any material change to your health, you must inform the clinic before treatment.

Certain treatments may need to be postponed, amended or cancelled for safety reasons. Treatments may resume only when clinically appropriate and subject to professional advice.

10. Refund Policy

Treatments and Services

Refunds for treatments, services, prepaid packages or deposits are not guaranteed and are granted only at management’s sole discretion, except where required by law.

If a refund is approved, any completed treatments will be deducted at the full standard list price, along with any applicable missed appointment fees, and the remaining approved balance will be refunded.

Products

Opened skincare, retail or consumable products are non-refundable unless faulty or required by law. Sealed products may be refunded or exchanged at management’s discretion.

Processing

Approved refunds will be processed within a reasonable period and ordinarily returned via the original payment method, unless otherwise agreed.

11. Liability Disclaimer

Important Notice

This section is important and affects both Sci-U Clinic and you. Please read it carefully.

Inherent Risks

All cosmetic, aesthetic, wellness, laser, skin, body, hair and medical-grade procedures carry inherent risks. These may include, without limitation, irritation, redness, swelling, bruising, allergic reaction, pigmentation changes, scarring, infection, delayed healing, unsatisfactory results, treatment failure, hair shedding, hair loss, or lack of regrowth.

No Guarantee of Results

While we always aim to achieve the best possible outcome, results are not guaranteed. Outcomes vary between individuals depending on factors such as age, skin or hair type, genetics, medical history, hormones, medications, lifestyle, and adherence to aftercare advice.

Client Responsibilities

You are responsible for:

  • providing accurate and complete medical information before treatment;
  • following all pre-treatment and aftercare instructions;
  • attending review appointments where required;
  • informing the clinic of any change in your medical condition, medication use, pregnancy status, or any adverse reaction.

Limitation of Liability

To the fullest extent permitted by law, Sci-U Clinic, its practitioners, employees and representatives shall not be liable for any direct, indirect, incidental or consequential loss, damage, dissatisfaction, or complication arising from:

  • failure to disclose relevant medical or personal information;
  • failure to follow pre-treatment or aftercare advice;
  • use of non-recommended or non-prescribed products;
  • individual variation in treatment response or results.

Nothing in these Terms excludes or limits liability for death or personal injury caused by proven negligence, fraud, or any matter that cannot lawfully be excluded.

12. Medical Emergencies and Allergies

It is your responsibility to disclose any allergies, sensitivities, medical conditions, previous adverse reactions, or other risk factors before treatment.

We are not responsible for adverse reactions or complications where relevant information has been withheld or inaccurately provided.

13. Informed Consent

By proceeding with treatment, you confirm that:

  • you have received an explanation of the nature and purpose of the treatment;
  • you understand the expected benefits, limitations, risks and possible side effects;
  • you have had the opportunity to ask questions and those questions have been answered to your satisfaction;
  • you understand that treatment is voluntary and that you may withdraw consent before treatment proceeds;
  • you understand that outcomes vary and cannot be guaranteed;
  • you have disclosed all relevant medical and personal information honestly and fully;
  • you agree to proceed on the basis discussed with your practitioner.

14. Complaints

We aim to deliver the highest standards of care and service.

If you are dissatisfied with any aspect of your care or experience, please raise this with the Clinic Manager or a member of management as soon as possible so that we can try to resolve the issue promptly.

For formal complaints, please refer to our Complaints Procedure, available on request or at the clinic.

15. Alternative Dispute Resolution

If any dispute arises, both parties agree to first attempt to resolve the matter through good-faith discussion and negotiation.

If the matter cannot be resolved informally, the parties may seek to resolve it through mediation before commencing court proceedings, except where urgent legal action is necessary to protect rights or prevent harm.

16. Confidentiality and Data Protection

We process personal data in accordance with:

  • the UK General Data Protection Regulation (UK GDPR); and
  • the Data Protection Act 2018.

Collection and Use

We collect personal, contact and, where relevant, medical information to provide safe and effective consultations, treatments, aftercare, customer support, and business administration.

Disclosure of Information

Your information is treated as confidential and is shared only:

  • with staff directly involved in your care or booking;
  • where required by law;
  • where necessary in a medical emergency;
  • with trusted service providers acting on our behalf under appropriate safeguards.

Your Rights

You may have the right to access your personal data, request correction, object to certain processing, restrict processing, withdraw consent where consent is relied upon, and request deletion where legally applicable.

17. Treatment Photography

Before and after photographs may be taken for clinical, treatment-planning, progress-monitoring, insurance, or record-keeping purposes.

Such images will be stored securely and used only in accordance with your consent, our internal processes, and applicable data protection law. Results vary from person to person.

18. Storage and Security

All client records, photographs and personal data are stored securely, whether electronically or in physical form. Access is restricted to authorised personnel only and retained only for as long as required by law, regulation, insurance, or legitimate business need.

19. No Variation

No amendment to these Terms shall be valid unless agreed in writing by an authorised representative of Sci-U Clinic. Verbal statements or informal discussions do not amount to a binding variation of these Terms.

20. Legal Jurisdiction

These Terms and Conditions are governed by the laws of England and Wales.

Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

A few important fixes I made beyond just swapping the name, because copy-pasting legal text and hoping for the best is a cherished but terrible tradition:

  • changed the booking/deposit wording to match your uploaded Sci-U policy of 50% upfront rather than the older version’s flat £50 cancellation language;

  • aligned cancellation wording to 24 hours’ notice and forfeiture of booking fee/deposit for late cancellation or no-show;

  • aligned lateness wording to more than 15 minutes late possibly meaning shortened or lost appointment, with full charges still applying;

  • replaced Este branding and contact details with Sci-U details from your uploaded policy document.
